Welcome to Beyond Cars. These terms and conditions outline the rules and regulations for the use of our transport services.
TERMS & CONDITIONS
These Terms and Conditions constitute the entire agreement between you and Beyond Cars Ltd (“Beyond Cars”, “we”, “us”, “our”) concerning the provision of private hire transport services. By booking or using our services, you confirm your unconditional acceptance of these Terms and Conditions.
1. Definitions
- Beyond Cars / We / Us / Our means Beyond Cars Ltd, a private hire operator licensed in England and Wales.
- Customer / You / Your means any person who books or uses our services.
- Services means all transport services provided by Beyond Cars, including but not limited to airport transfers, chauffeur services, SEN transport, and minicab services.
- Booking means a request for Services accepted by Beyond Cars and confirmed in writing.
2. Bookings and Confirmation
All bookings are subject to availability. A booking is only confirmed once you receive written confirmation from us via email, SMS, or our booking system.
You must ensure that all booking details are accurate, including pickup time, location, passenger numbers, luggage requirements, and destination. Beyond Cars shall not be responsible for delays or additional costs arising from incorrect or incomplete information supplied by you.
We reserve the right to refuse or decline any booking at our discretion.
You must allow sufficient time when booking to meet airline check-in requirements and account for potential traffic delays. Beyond Cars shall not be liable for delays caused by insufficient journey planning or passengers not being ready at the agreed pickup time.
3. Vehicle Size, Luggage, and Special Requirements
You must book a vehicle suitable for the number of passengers and luggage. Excess or oversized luggage must be declared at the time of booking. We reserve the right to refuse to carry items that cannot be safely accommodated.
If children are travelling, they count as passengers and must be declared. Requests for child seats must be made at the time of booking.
If transport is required for a wheelchair user, SEN passenger, or any vulnerable person, you must notify us at the time of booking so appropriate arrangements can be made.
All luggage is carried at your own risk. Beyond Cars is not liable for loss or damage to luggage unless caused by our negligence.
4. Waiting Time
- Airport pickups:
- 45 minutes free waiting time for international arrivals
- 30 minutes free waiting time for domestic arrivals
Waiting time is calculated from the actual flight landing time.
- All other pickups:
- 5 minutes free waiting time
Additional waiting time is chargeable at £15 per hour or part thereof.
5. Cancellations and No-Shows
You may cancel a booking free of charge up to 6 hours before the scheduled pickup time.
Cancellations made within 6 hours of pickup may incur a cancellation charge of up to 100% of the booking value. No-shows or cancellations made after the driver has been dispatched will be charged in full.
Where Beyond Cars must cancel a booking, we will endeavour to provide a suitable replacement. If we are unable to fulfil the booking, a full refund will be issued using the original payment method.
Beyond Cars reserves the right to cancel services and issue refunds in the event of circumstances beyond our reasonable control, including but not limited to extreme weather, national emergencies, fuel shortages, riots, war, or terrorist activity.
6. Prices and Payment
All prices are quoted based on the information provided at the time of booking and include VAT unless otherwise stated.
Beyond Cars reserves the right to amend quotations where there are material changes to the booking details, including route, timing, passenger numbers, or vehicle requirements.
Payment may be made by cash, credit card, debit card, bank transfer, or approved electronic methods. Corporate account customers may be invoiced subject to agreement.
Additional charges may apply for tolls, congestion charges, parking, or waiting time where applicable.
7. Passenger Responsibilities and Conduct
Passengers must be ready at the agreed pickup location and time.
Seatbelts must be worn at all times. Smoking, vaping, and the consumption of alcohol are strictly prohibited in all vehicles.
Passengers are responsible for their behaviour and must not act in a manner that endangers the driver, vehicle, or other passengers, or causes damage.
8. Child Safety
Child seats are available on request and must be requested at the time of booking.
Parents or guardians are responsible for ensuring children are properly restrained:
- Children under 3 years must use an appropriate child restraint.
- Children aged 3–12 years must use a suitable child seat or booster unless they are 135cm or taller.
9. Liability
Beyond Cars Ltd is the licensed private hire operator and bears responsibility for accepting bookings and providing the journey.
We shall endeavour to transport passengers to their destination on time but shall not be liable for delays caused by traffic conditions, roadworks, weather, accidents, or other factors beyond our reasonable control.
Under no circumstances shall Beyond Cars be liable for any indirect or consequential loss, including loss of profits or business.
Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence, fraud, or any matter that cannot be excluded by law.
You shall indemnify Beyond Cars against all losses, damages, costs, and expenses arising from the acts or omissions of you or any passenger in your party.
Lost property claims must be reported within 7 days of the journey. Any property found will be retained for up to 3 months, after which it may be disposed of.
10. Termination and Refusal of Service
Beyond Cars reserves the right to refuse or terminate a booking immediately where the conduct of any passenger places the driver, vehicle, or others at risk, including violence, abuse, or damage.
In such circumstances, passengers may be required to vacate the vehicle safely and no refund will be issued for any unused portion of the journey.
11. Complaints
Complaints must be submitted in writing within 14 days of the journey to info@beyondcars.co.uk. We aim to acknowledge complaints within 48 hours and resolve them within 14 working days.
12. Governing Law
These Terms and Conditions are governed by the laws of England and Wales. The courts of England and Wales shall have exclusive jurisdiction.
